The Opportunity

We're looking for an Executive Administrative Assistant, working in the Banking/Finance industry in New York, New York, United States.

  • Provide administrative support for Global Markets and Securities Services Lead Finance Officer / team with a high level of accuracy, detail & professionalism.
  • Schedule and maintain frequently changing calendars through Outlook
  • Coordinate all aspects of executive level appointments, meetings, client entertainment and conference calls
  • Prepare and review materials and correspondence for meetings
  • Make travel arrangements in a cost-effective manner – both international and domestic
  • Prepare, reconcile, and track expense reports through T&E system
  • Manage all UPS and US mail shipments
  • Take accurate telephone messages for managers and forward them in a timely manner
  • Order office supplies as needed and maintain appropriate inventory
  • Reserve and manage use of conference rooms
  • Process and follow up on all P2P invoices, VT, and VSR tickets.
  • Follow through on commitments and meet assigned deadlines.
  • Demonstrate ability to carry out sensitive tasks with discretion and confidentiality.
  • Serve as back up support for other managers or administrative staff when required.
  • Prepare and review materials and correspondence for meetings
  • Assist for on boarding of new staff as needed

The pay we are offering is 25 per hour. This position may present an opportunity to go permanent.

Experience Required for Your Success
  • Highly proficient in MS Office (Word, Excel, Outlook, and PowerPoint)
  • Ability to gain a strong command of new systems (P2P, and Concur for Client Travel & Expense)
