The Opportunity

Job Description:
- Handle confidential matters requiring discretion and judgment; take initiative to follow-up on relevant issues and informs VP/Executive Director of status.
- Schedule and coordinate meetings, maintain calendars, arrange video/audio conference, place online catering orders and arrange luncheons upon request.
- Coordinate travel arrangement, including executive level visitors from the home office and other regions.
- Research travel options via company’s travel system and arrange both global and domestic travel arrangements (i.e. car service, train/air/hotel). Assist with passport/visa requirements for international travel.
- Administrative management for execution of Master Service Agreement (MSAs), Statements of Work (SOWs), contracts, and amendments.
- Responsible for the routing, tracking, and processing of legal documents pertaining to services contracts.
- Serve as a liaison for the department in the resolution of day-to-day administrative issues.
- Enter purchase orders into SRM and process invoices and reconciliation. Submit monthly Purchasing-card statements.
- Paper and electronic file management, electronic expense report processing, and ordering of office supplies.
- Format information into polished Microsoft PowerPoint slide presentations.
- Update and maintain department Microsoft Excel spreadsheets.
- Assemble monthly activity reports and review monthly FTE reports for completion, as directed.
- Provide coordination support for the Global Clinical Quality Assurance group as assigned.

Experience Required for Your Success
Requirements:
- Minimum of a High School diploma is required (Associates Degree preferred)
- 4-6 years related administrative experience supporting multiple individuals (experience in the pharmaceutical industry is a plus)
- Strong organizational skills and excellent judgment and reasoning abilities
- Must be customer and employee focused, able to multi-task, work under minimal supervision, and demonstrate resiliency and high productivity in a fast paced environment
- Must have proficient computer skills with productivity tools, portal technology, Lotus Notes/Outlook, and Microsoft Office programs (Word, Excel, PowerPoint)
- Must have excellent verbal and written communication skills, exceptional interpersonal skills and ability to work cooperatively and collaboratively with others
- Prior experience handling sensitive and confidential information and documents is required
- Must be able to work in a demanding fast paced environment and provide stellar customer service
