Executive Assistant, working in

Makati City, Metro Manila, Philippines.
As anExecutive Assistant at PSG Global Solutions,you will play a crucial role in providing high-level administrative support to our executive team. You will be the go-to person for a wide variety of tasks, ensuring that everything runs smoothly and efficiently.
Key Responsibilities
Administrative Support
- Calendar Management: Manage executives' schedules, ensuring optimal timing and resources for meetings, calls, and events.
- Communication: Compose emails, memos, and other written communications on behalf of executives.
- Presentations & Reports: Design, edit, and organize presentations, reports, and documents for meetings, proposals, and projects.
- Task Coordination: Manage multiple tasks and deadlines, ensuring the executive team remains organized and on track.
Travel Coordination
- Travel Planning:Handle all travel logistics, including booking flights, hotels, and transportation.
- Travel Itineraries: Prepare detailed itineraries for the executive team, including flight confirmations, hotel bookings, and travel schedules.
- Expense Management: Monitor travel expenses, organize receipts, and prepare expense reports for approval.
Event Planning & Coordination
- Meeting Coordination:Schedule both virtual and in-person meetings, ensuring seamless logistics.
- Venue Arrangements: Oversee venue bookings and event logistics, including AV equipment, catering, and other needs.
- Event Support: Assist with corporate events, webinars, and team-building activities, ensuring smooth execution.
Financial Support
- Expense Management:Assist with managing company credit cards, receipts, and expenditures.
- Budget Tracking:Monitor expenses to ensure activities stay within approved budgets.
- Documentation:Handle financial documentation for reimbursements and ensure records are up-to-date.
Document Management
- Record Keeping:Maintain accurate and up-to-date records, including contracts and internal documents.
- Digital Signatures:Manage the signing of documents using digital signature platforms.
- Filing and Organization:Implement efficient filing systems for easy access to documents and records.
Experience Required for Your Success
Experience & Expertise:
- 3+ years of experience as an Executive Assistant, supporting C-level executives or in a similar role.
- Proven expertise in managing complex schedules, multitasking, and meeting tight deadlines.
- Demonstrated success in travel coordination and event management.
Technical Skills:
- Proficient in Microsoft Office, Google Workspace, and project management tools such as Asana and Trello.
Communication & Interpersonal Skills:
- Strong written and verbal communication skills.
- Exceptional interpersonal skills with the ability to engage effectively with senior leadership, clients, and partners.
Problem-Solving & Adaptability:
- Proactive problem-solving mindset with strong critical thinking skills.
- Flexible and adaptable to shifting priorities in a fast-paced environment.
